Title: CPT-11632 Outbound Client Appointment Setting Virtual Assistant

Independent Contractor – CPT-11632 Outbound Client Appointment Setting Virtual Assistant/Business Support VA/Junior-Senior Level (Remote).

Overview

20four7VA is seeking offshore independent contractors to deliver remote services to clients worldwide, with a primary focus on developed markets such as the United States, the United Kingdom, Canada, and Australia.

An established financial-services agency is seeking an experienced Business Support VA to manage outbound client calling, annual review scheduling, lapsed-policy follow-up, and appointment coordination.

The agency serves existing clients with life insurance, annuities, retirement, and related financial products. This is not a cold-calling or insurance sales position. The VA will contact established policyholders using approved scripts, identify the appropriate reason for follow-up, and schedule appointments with the agency owner.

The ideal candidate is a confident, highly organized, and coachable phone professional who can execute calling campaigns independently without requiring basic telephone communication training.

The objective of each engagement is to assist the client in improving business efficiency, enhancing service delivery, or supporting operational functions through high-quality, task-specific services rendered by a qualified contractor.

Scope of Services

Contractors will be required to provide services that align with the following client tasks:

Outbound Client Calling & Appointment Setting

  • Contact existing policyholders to schedule annual reviews and consultations
  • Reach out regarding lapsed policies, missed payments, banking changes, and other follow-up needs
  • Explain the purpose of each call professionally using approved client information
  • Handle routine questions or objections and guide conversations toward scheduling
  • Book appointments and maintain the advisor's calendar

Call Execution & Follow-Up

  • Conduct outbound calls through Dialpad
  • Use the correct script for each client category and outreach campaign
  • Maintain natural, confident conversations while following approved messaging
  • Document call outcomes, client responses, and follow-up requirements
  • Review call recordings and apply feedback to improve performance

Administrative & Client Tracking

  • Maintain accurate client lists, appointment logs, and tracking spreadsheets
  • Organize outreach activity according to campaign and client type
  • Track outstanding callbacks and follow-up appointments
  • Provide regular updates on calling activity and scheduled appointments

Each engagement is based on a defined scope of work and is governed by an independent contractor agreement. Services must be performed professionally, with adherence to any timelines, guidelines, and deliverables agreed upon in writing.

Skills

The Contractor must demonstrate proficiency in the following, depending on the Client’s requirements:

  • Proven outbound calling or appointment-setting experience required
  • Strong phone-based customer service experience required
  • Excellent spoken and written English required
  • Ability to follow multiple scripts accurately required
  • Experience handling routine objections and securing appointments strongly preferred
  • Financial-services or insurance-agency experience preferred
  • Dialpad or similar calling-platform experience preferred
  • Spreadsheet and client-record management experience preferred

IDEAL CANDIDATE PROFILE

  • Confident and experienced with outbound phone communication
  • Excellent listener with natural rapport-building ability
  • Highly organized and attentive to details
  • Coachable and quick to implement feedback
  • Comfortable handling objections without becoming overly scripted
  • Dependable, consistent, and accountable for results

APPLICATION SOFTWARE KNOWLEDGEABLE / REQUIRED

  • Dialpad – Experience Preferred
  • Google Sheets / Microsoft Excel
  • Email & Calendar Platforms
  • Client Tracking / CRM Systems

  • Daily Working Time: Flexible EST Business Hours – Exact Schedule TBD

Note: The Company will make reasonable efforts to align the Assigned VA’s schedule with the Client’s preferred hours as set forth above. However, availability may vary based on time zones, capacity, and the contracted hours set in this SOW. Any changes must be mutually agreed to in writing through a revised SOW.

7. HOW DO YOU ORGANIZE FILES, LINKS, AND TABS ON YOUR COMPUTER?

Just like your schedule, how you track files and other information is very important. After all, everything is digital!...

9. HOW DO YOU PREPARE FOR A MEETING AND PREPARE A MEETING? WHAT DO YOU SEE HAPPENING DURING THE MEETING?

Just as communication is essential when working remotely, so is organization. Because you won't have those opportunities in the elevator or a casual conversation in the lunchroom, you should take advantage of the little time you have in a video or phone conference...

10. HOW DO YOU USE TECHNOLOGY ON A DAILY BASIS, IN YOUR WORK AND FOR YOUR PLEASURE?

This is a great question because it shows your comfort level with technology, which is very important for a remote worker because you will be working with technology over time...
