Legal Billing & Administrative Virtual Assistant

We are seeking an experienced Administrative Virtual Assistant to provide billing, administrative, and client communication support for law firms and legal professionals. The VA will play a key role in helping ensure billing is handled accurately and efficiently while maintaining professional, responsive communication with clients and internal teams.
If you have a background in legal billing or have handled significant billing responsibilities as a legal assistant, paralegal, or other legal professional, along with strong organizational skills and experience managing communications in a fast-paced professional setting, we’d love to hear from you.

Responsibilities:
  • Manage and process billing tasks, such as time entries, invoices, and payments.
  • Coordinate billing details and updates with attorneys and clients.
  • Track billable hours and ensure accuracy across multiple matters.
  • Follow up on overdue invoices and client payments as needed.
  • Maintain organized records of client communications and billing records.
  • Support administrative tasks such as document management and scheduling.
  • Communicate professionally via email, phone, and client portals.
Requirements:
  • Hands-on experience with legal billing, timekeeping, invoicing, accounts receivable, or payment follow-up in a law firm, legal department, or legal services environment, including experience performing these functions as part of a broader legal assistant or paralegal role.
  • Strong understanding of law firm billing workflows, including time entry review, billable hour tracking, pre-bill preparation, invoice revisions, and client/matter-based billing records.
  • Ability to identify billing discrepancies, missing time entries, incorrect matter details, duplicate charges, or inconsistencies before invoices are finalized.
  • Comfortable coordinating billing questions, invoice updates, payment status, and collection follow-ups with attorneys, clients, and internal support teams.
  • High level of accuracy, confidentiality, and discretion when handling client billing records, payment information, trust/client account details, and sensitive matter information.
  • Excellent written and verbal English communication skills, with the ability to explain billing-related updates professionally and clearly.
  • Ability to manage multiple billing cycles, client matters, deadlines, and follow-up tasks independently in a remote work environment.
  • Stable internet connection and professional remote work setup.
Nice to Have:
  • Familiarity with legal billing, accounting, or practice management platforms such as Clio Manage, MyCase, PracticePanther, LawPay, QuickBooks, or similar systems.
  • Experience supporting multiple attorneys, practice areas, or client matters simultaneously.
  • Knowledge of legal billing codes, client billing guidelines, trust/client account handling, or collections support.
  • Experience handling billing responsibilities as part of a broader legal assistant, paralegal, or legal administrative role.
  • Prior experience with client-facing customer service or professional services support.
