Operations & Marketing Virtual Assistant for Online Fitness Membership

I’m a posture coach and personal trainer looking for a reliable, organized, and proactive Virtual Assistant to help manage the day-to-day operations of my growing online posture education business.

I’m looking for someone who enjoys creating systems, taking ownership, and helping a business run more smoothly, not just checking tasks off a list.

What You'll Help With:

1. Business Organization + Asana

- Organize projects and recurring workflows in Asana

- Create and maintain SOPs

- Help keep projects, deadlines, and monthly tasks organized

2. Membership + Uscreen

- Finalize video titles/descriptions for monthly challenges

- Organize content, thumbnails, collections, and supporting assets

- Complete basic QA before publishing

3. Community + Customer Support

- Welcome and engage members

- Respond to basic community questions

- Manage customer support emails for login, account, billing, cancellations, etc.

- Escalate coaching or more complex issues to me

4. Email Marketing

- Draft and build weekly emails using established frameworks

- Format, check links, and schedule approved emails

5. Monthly Launch Support

- Help coordinate emails, content, graphics, links, and membership assets for monthly launches

6. TikTok LIVE Moderation

- Join approximately 1 LIVE/week

- Engage with viewers, moderate comments, and share/pin CTAs

You should be:

- Highly organized and detail-oriented

- Proactive and comfortable taking ownership

- A strong written communicator

- Reliable with deadlines and communication

- Comfortable learning new software and using AI tools like ChatGPT

- Able to follow processes while also identifying ways to improve them

Experience with Asana, Uscreen, email marketing, Canva, customer support, digital products, or online memberships is a plus.

This role will start at approximately 10-12 hours/week, with potential to grow.

Please only apply if you can consistently dedicate 10-12 hours each week alongside your other commitments. Reliable availability throughout the week is important due to customer support, launches, and weekly LIVEs.

To apply please answer:

1. Why does this role interest you?

2. What experience do you have with Asana, SOPs, or organizing business systems?

3. What experience do you have with email marketing, customer support, or online memberships?

4. How many other clients/businesses do you currently support?

5. Can you consistently dedicate 10-12 hours/week to this role?

6. What is your time zone and typical availability?

Please start your application with ALIGN so I know you read the full posting.

I’m looking for someone who wants to learn the business, become a trusted part of the team, and grow into greater ownership over time.

DO NOT EMAIL ME. Keep everything here in Upwork. Thank you for understanding.

2. HOW DO YOU USE THE DIFFERENT COMMUNICATION TOOLS IN DIFFERENT SITUATIONS?

When you're working on a remote team, there's no way to chat in the hallway between meetings or catch up on the latest project during an office carpool. Therefore, virtual communication will be absolutely essential to get your work done...

3. WHAT IS "WORKING REMOTE" REALLY FOR YOU?

Many people want to work remotely because of the flexibility it allows. You can work anywhere and at any time of the day...

With this question, companies are looking to see what equipment they may need to provide you with and to verify how aware you are of what remote working could mean for you physically and logistically...

5. HOW DO YOU PROCESS INFORMATION?

Several years ago, I was working in a team to plan a big event. My supervisor made us all work as a team before the big day. One of our activities has been to find out how each of us processes information...

6. HOW DO YOU MANAGE THE CALENDAR AND THE PROGRAM? WHICH APPLICATIONS / SYSTEM DO YOU USE?

7. HOW DO YOU ORGANIZE FILES, LINKS, AND TABS ON YOUR COMPUTER?

Just like your schedule, how you track files and other information is very important. After all, everything is digital!...

9. HOW DO YOU PREPARE FOR A MEETING AND PREPARE A MEETING? WHAT DO YOU SEE HAPPENING DURING THE MEETING?

Just as communication is essential when working remotely, so is organization. Because you won't have those opportunities in the elevator or a casual conversation in the lunchroom, you should take advantage of the little time you have in a video or phone conference...

10. HOW DO YOU USE TECHNOLOGY ON A DAILY BASIS, IN YOUR WORK AND FOR YOUR PLEASURE?

This is a great question because it shows your comfort level with technology, which is very important for a remote worker because you will be working with technology over time...
