Technical Virtual Assistant — HubSpot CRM Setup & Advanced Spreadsheet Automation Specialist

Job Description

Overview:

We are a high-velocity B2B geospatial and regulatory compliance consulting ecosystem operating entirely asynchronously. We are seeking a highly technical, meticulous, and autonomous Virtual Assistant to join our team on an on-call, asynchronous basis. Your primary role will be to build, audit, and organize our internal operations infrastructure—specifically handling advanced HubSpot CRM architecture, automated Google Sheets spreadsheet workflows, and secure cloud file taxonomies.

If you are a self-starter who excels at turning loose process steps into clean, automated data systems without needing live video meetings or hand-holding, this role is for you.

Core Responsibilities:

1. HubSpot CRM Architecture & Pipeline Configuration: Create custom contact/deal property groups, build out distinct sales pipelines, map form UI layouts to backend data fields, and establish automated internal routing pipelines (Service Tickets) within a single corporate HubSpot portal.

2. Advanced Spreadsheet Automation: Construct and maintain master operational and tax-allocation tracking logs in Google Sheets/Excel. You must be fluent in hardcoding logical formulas (e.g., IF, ISBLANK, SUMIF, array constraints) to automate contract milestone calculations and financial aggregators.

3. Cloud File Management & Template Staging: Establish and enforce a rigid, clean folder taxonomy across Google Drive/OneDrive. Stage editable document templates (.docx / PDFs) with distinct data placeholders for engineering and legal teams.

Required Qualifications & Technical Competencies:

• Proven Expertise in HubSpot CRM Administration: Deep understanding of custom properties, deal stages, multi-domain configuration, and workflow automation triggers.

• Advanced Google Sheets / Excel Skills: Absolute mastery of complex formulas, nested logic, and automated dashboard summation blocks.

• Strong Structural Organization: Proven ability to build clean, logical file structures and document repositories.

• Flawless Asynchronous Communication: Ability to receive written Standard Operating Procedures (SOPs), execute tasks precisely, and provide clear, text-based progress logs.

- Occasional Zoom meetings for clarity and and support ok tasks is available.

Project Type: Ongoing / Asynchronous On-Call Support

Hourly Rate / Budget: Open to competitive bids based on technical CRM and automation experience.

Application Instructions:

Please reply with a brief summary of a recent HubSpot custom pipeline or advanced Google Sheets automation project you built from scratch. Start your application with the phrase "System Architecture Unlocked" to prove you have read and understood our asynchronous operational rules.
