The Opportunity

The primary objective of the Virtual Executive Assistant is to provide indispensable support to key executives of levels (LG1) within the organization. This role is crucial for ensuring the functioning of daily operations, including Travel & Logistics Management, Reimbursement activities, AMEX Support, and other essential administrative functions while remaining adaptable to the environment, ensuring a smooth transition and minimal disruption to existing operations, fostering a positive and collaborative team culture

Your Impact

As Assoc Exec Admin Assistant your functions would consist of

Travel & Logistics:

  • Coordinate and book domestic and international travel for executives, including itineraries, flights, hotels, and transportation.
  • Collect and organize receipts and documentation related to travel expenses.
  • Prepare and submit expense reports on behalf of executives, ensuring compliance with company policies.
  • Travel & Expense reports and submissions
  • Become familiar with PepsiCo's Travel Policy
  • Facilitate visa processing and passport-related matters.

Reimbursement:

  • Check Amex charges versus SAP Concur
  • Collect and organize expense receipts, ensuring they align with company policies.
  • Open and manage tickets for reimbursement requests, ensuring prompt closure.
  • Communicate with executives to clarify or obtain additional information regarding expense reports.
  • Request receipts for expense invoices and track them.
  • Review receipts and invoice tickets sent by the executive.
  • Provide guidance and support to executives on the proper procedures for submitting reimbursement requests.

Who Are We Looking For?

  • Bachelor’s degree in human resources, Industrial engineering, Business Administration, or Related Field
  • Demonstrated ability to use initiative, work proactively, and adapt quickly to a constantly changing environment.
  • Excellent spelling
  • Excellent copywriting management
  • Intermediate English
  • Strong organizational and multitasking abilities.
  • Excellent communication and interpersonal skills.
  • Office package knowledge (Excel & Outlook)
