Legal Receptionist (Remote, Must reside in CA)

<p>Adams & Martin Group is working with a boutique family law and civil litigation firm to identify an experienced Legal Receptionist to join their team. This fully remote direct hire opportunity is ideal for a highly organized, detail-oriented professional who thrives in a fast-paced legal environment, enjoys client interaction, and can effectively manage high call volume while supporting attorneys and legal staff. <strong>MUST HAVE RECENT LEGAL EXPERIENCE AND BE IN PST.<br><br></strong></p>Responsibilities<br><br><br><br>Reception & Client Communication<br><br><p>* Answer high-volume inbound phone calls across multiple lines and route calls appropriately<br>* Take detailed notes and messages while ensuring accurate communication with attorneys and staff<br>* Professionally communicate with prospective and existing clients regarding their legal matters<br>* Conduct initial client screening and gather relevant information<br>* Serve as the primary point of contact for callers and provide exceptional client service<br>* Make outbound calls on behalf of attorneys as needed<br><br></p>Calendar & Administrative Support<br><br><p>* Schedule consultations, appointments, and meetings while maintaining multiple calendars<br>* Enter and track important court dates, deadlines, appointments, and client communications<br>* Provide timely reminders to attorneys and staff regarding upcoming deadlines and events<br>* Maintain accurate contact records and client information databases<br>* Assist with general administrative and office support functions<br><br></p>Legal Documentation & Case Support<br><br><p>* Assist with document preparation, correspondence, and client communications<br>* Scan, organize, label, and file legal and administrative documents<br>* Preserve and maintain updated case records and filing systems<br>* Assist with legal filings and e-filings as needed<br>* Summarize documents and draft basic correspondence for attorney review<br>* Conduct documentary and statistical research when requested<br><br></p>Records Management & Data Entry<br><br><p>* Maintain organized digital client files and records<br>* Input information into Excel spreadsheets, billing systems, and case management software<br>* Source and verify important case information and documentation<br>* Ensure confidentiality and accuracy when handling sensitive client information<br>* Support attorneys and staff with case-related administrative projects<br><br></p>Qualifications<br><br><p>* Minimum of 2 years of receptionist experience required, preferably within a law firm<br>* Legal receptionist experience strongly preferred<br>* Strong organizational skills and exceptional attention to detail<br>* Ability to manage high call volume while maintaining professionalism and accuracy<br>* Excellent verbal and written communication skills<br>* Strong calendaring and scheduling experience<br>* Ability to handle confidential and sensitive information with discretion<br>* Proficiency with Microsoft Office Suite required<br>* Experience with legal technology, court-filing systems, or case management software preferred<br>* Experience with MyCase, RingCentral, Microsoft Word, and Excel is a plus<br>* Outstanding time management and multitasking abilities<br>* High school diploma or equivalent required; Associate's or Bachelor's degree preferred<br>* Mandarin proficiency is a plus<br>* Cantonese proficiency is a plus<br><br></p> <br><br><p>Please submit your resume for confidential consideration.<br></p><p> <br></p><p><em>All qualified applicants will receive consideration for employment without regard to race, color, national origin, age, ancestry, religion, sex, sexual orientation, gender identity, gender expression, marital status, disability, medical condition, genetic information, pregnancy, or military or veteran status.
